Manuscript Format

Format for Submitting Your Manuscript

(Your manuscript must have already undergone peer review [Peer review request form as pdf].)

Your manuscript:
Double space it and submit as an electronic file.


Also submit:

  • Any original Excel files you used to create tables.
  • All figures, tables, photos/slides, and original artwork. The designer needs all graphic elements to create the layout.
  • All references. Fulfill copyright obligations by supplying credits and permissions [Request permission letter template (Word doc)].

Margins:

Justify all material flush with the left margin, including titles and headings. Leave the right margin ragged (unjustified). Leave at least 1-inch margins at top, bottom, left, and right.

Indents:

Use only tab indents--not spaces—if you indent at the beginning of paragraphs.

Titles, headings:

Type in upper and lower case, not all caps.

Space after periods:

Leave only one at the end of sentences.

Symbols for degrees, copyright, etc.: Don’t type the symbol.They often don’t translate from one software program to another. Write out name of symbol, for example, "[copyright symbol]."

Microsoft Word macros:
Get rid of any you’ve created by saving the file as rich text only (RTF) before sending it to us.

Footnotes: Place all footnotes together at the end of the file, not in footers.

Headers and footers: Don’t use headers and footers, except for page numbers.

Tables: Submit all tables in table format.

Artwork, photos/slides, and figures:

Submit the original work or submit it via an electronic file. Attach high-quality electronic files to an E-mail or copy onto a zip disk or CD. For best reproduction, electronic photos need to be at least 300 dots per inch (dpi); in a 2-inch x 3- inch format; and 1200 x 1800 pixels (at least 600 x 900). Graphic file formats we can accept are Excel, EPS, and TIFF and high-resolution JPEG and GIF. Note: Photos or art downloaded from the web don’t reproduce well. Don’t embed files in Word or PowerPoint documents. Submit a photocopy of each piece of artwork and photo along with the originals. Label photocopy of artwork/photos with title or caption. Label slides on the outside of their envelope or on a sticky note. Number items according to sequence of appearance in the text. Indicate in your manuscript where you’d like your artwork/photography to be placed.

A note about scanned photos, figures, or other art work.
Scans for print must be high quality and calibrated correctly; we prefer to do scanning inhouse. If you wish to submit scanned images, please contact us first before you scan. Graphic file formats we can accept are Excel, EPS, and TIFF and high-resolution JPEG and GIF. If we receive image files in other formats, such as PowerPoint or Word, we must redo them.

Artwork, photography, or figures that are not your own.
  • Provide complete source information.
  • Indicate in writing that you have permission for use or furnish a photocopy of the letter granting permission (Word doc).
